The Canadian Mental Health Association of New Brunswick Inc. (CMHA of NB) is part of a nationwide, voluntary organization that promotes the mental health of all and supports the resilience and recovery of people experiencing mental illness.
As the nation-wide leader and champion for mental health, CMHA facilitates access to the resources people require to maintain and improve mental health and community integration, build resilience, and support recovery from mental illness. CMHA accomplishes this mission through advocacy, education, research, and service.

Position
The Human Resources Assistant will work as part of the human resources team and report directly to the Director of Finance and Human Resources. Duties include providing administration for human resource programs and services; processes applications and compiles statistics; maintains personnel records and human resource filing systems; administers employment testing, reference checking, new employee orientation and processing changes in employee status; may assist in benefit administration.
The Human Resources Assistant is a master multitasker with excellent communication skills and an upbeat attitude. They are professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. They must be comfortable with computers, general office tasks, and excel at both verbal and written communication.
Major Responsibilities
- Process, verify and register documentation relating to personnel activities such as staffing, recruitment, training, performance evaluations and classifications.
- Maintain and update manual and computerized filing and registration systems, and compile and prepare reports and documents relating to personnel activities.
- Respond to telephone and written enquiries from staff and the public regarding personnel matters.
- Arrange for advertising or posting of job vacancies, assist in screening and rating of job applicants, and conduct reference checks.
- Administer and score employment tests, if applicable.
- Arrange for in-house and external training activities.
- Coordinate human resource meetings, training, surveys. Take meeting minutes when required.
- Provide administrative support to the Director of Finance and Human Resources.
- Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, performance evaluations etc.)
- Orienting new employees to the organization (setting up a designated log-in, workstation, email address, etc.)
- Serving as a point person for new employee questions
- Record Maintenance. Maintaining records related to grievances, performance reviews, and disciplinary actions.
- Performing file audits to ensure that all required employee documentation is collected and maintained.
- Completing termination paperwork and assisting with exit interviews
Qualifications
- Education in human resources or a related field combined with relevant work experience.
- A recent satisfactory criminal record and vulnerable sector check
Knowledge, Abilities & Skills
The Human Resources Assistant will demonstrate competencies that are essential to this position, which include:

- The ability to communicate clearly in both French and English, both written and orally, as to communicate with employees, management, and in group presentations and meetings.
- Excellent computer literacy skills (MS Office365 / Databases)

- Strong interpersonal skills, build and maintain relationships, put people at ease, show empathy and genuineness.

Working Conditions
- The work location is CMHA of New Brunswick provincial office located at 557 Saint Mary’s Street, Fredericton, NB.
- This is a full-time position which includes benefits.
- The usual work week is 32 hours.
- Flexible working hours may occasionally be required.
- Some limited travel is expected.
